D E F I N I T I O N S
In these terms and conditions of hire, the following meaning shall apply:
‘we, us, our’ refers to Every Occasion Event Management
‘you, your’ refers to the named person/s on the booking.
‘your hire’ means all the arrangements and items sourced and organised for you by Every Occasion Event Management.
We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you hire from us. The terms and conditions applying to your hire will be those in place on the date that you make your reservation.

- All equipment hire items & props are the property of Every Occasion Event Management and always remain so throughout your hire.
- By accepting these terms and conditions, you agree that you are always solely responsible for the hire items throughout your hire period, from acceptance of pick up of the items until you return the item, or they are accepted back by us.
2. P A Y M E N T T E R M S
2.1 A non-refundable deposit of 20% is due upon booking. Your items will not be reserved for you until the deposit payment has been accepted by us. You will receive a receipt as confirmation of your deposit payment upon acceptance.
2.2 The remaining balance of 80% is due 21 days before the date of hire unless alternate payment options have been agreed in writing by Every Occasion Events at the time of booking.
2.3 All quoted prices are subject to a standard rate of 20% VAT.
3. S T A N D A R D H I R E P E R I O D
3.1 Unless specifically agreed at the time of booking, all standard hire is based on a total of two days:
Day one – delivery/pick-up and event day
Day two – collection/drop off.
3.2 Please note! Our standard delivery and collection hours are between 09:00 – 17:00 Monday to Friday.
3.3 Please see section 7.13 in relation to surcharges for requested delivery/collection outside of our standard times.
4. E X T E N D E D H I R E
4.1 Extended hire will be charged at 10% less of the hire value for each additional day.
4.2 Extended hire can be arranged on booking.
5. F A L I U R E TO P A Y F O R O R R E T U R N I T E M S
5.1 If any items are not returned in the agreed time and we have not made prior arrangement with you, you will be charged 50% of the total hire value for each additional day the items are away from us.
5.2 If items are not returned in the agreed time and this impacts another booking, you will be liable for the full value of the second booking, including VAT and any delivery charges applicable.
5.3 If items fail to be returned after an extended period (deemed so at our discretion), you will be liable for the full replacement value of the goods in question and we will exercise our right to pursue you legally for this cost.
5.4 If an agreement has been made to accept late payment but a final payment deadline passes or failure to pay a damage invoice has taken place, we will pass the debt onto a third-party debt collection agency who will add their own fees. We will no longer hold any responsibility for the collection of the debt or the fees that may be applied and you will need to liaise with the agency. Payment will need to be made directly to them to settle the debt.
6. H I R E C O N D I T I O N
6.1 On signing the delivery/pick-up statement, you are agreeing that the items are in good condition and are as advertised. No complaint regards the condition or quality of the item/s will be valid at a later stage if concerns have not been raised or if inspection has not been completed prior to signing the statement.
6.2 You may not request a refund or reduction on payment based on quality or condition of our items if this statement has been signed.
6.3 Breakages, missing parts & damages to items will be charged according to their full replacement value.
6.4 If an item you have booked is damaged or lost prior to your hire taking place you will be informed, and every effort will be made to replace the item like for like. If this is not possible or if this is unsatisfactory, you will be entitled to a refund for that item only. No further compensation will be due.
6.5 Electrical items should be tested for functionality by the hirer prior to event usage.
6.6 Smoking is not permitted under and circumstance within our enclosed hire items. Damages also consisting of smoke smell will be charged according to their full replacement value.
7. D E L I V E R Y A N D C O L L E C T I O N
7.1 Our standard delivery and collection hours are between 09:00 – 17:00 Monday to Friday. Other arrangements can be made subject to a surcharge mentioned in point 7.13
7.2 If delivery and collection has been agreed, hired items must be available for collection at the delivery address, unless otherwise agreed. Items must be collected and must not be left in an unsecure or unattended location.
7.3 Delivery drivers can sometimes be subcontracted and not employed directly by Every Occasion Event Management. Therefore, they should not be asked or expected to transfer items across venues, up and down stairs etc. as the are not insured for such practice. (not because we are unhelpful ☺)
7.4 Please ensure someone is available to accept hire goods and sign necessary paperwork.
7.5 Any extra expenses incurred where subsequent journeys and/or extra vehicles are made necessary, will be charged accordingly.
7.6 additional time which is spent beyond what is deemed a reasonable time for drop off/collection will also be charged accordingly.
7.7 Hite items are the responsibility of the hirer/s until they have been officially signed over.
7.8 If no one is present to sign over the items when they are collection, our decision is final as to the condition and availability of the items.
7.8 It is the hirer/s responsibility to ensure all items you have hired are returned to us by making sure all items are loaded by our driver. If Items are left behind, it is the hirer/s responsibility to return items as soon as possible, incurring costs associated; including extended hire costs, if applicable.
7.9 It is your responsibility to ensure there is legal parking available to carry out the delivery and collection. We will not be held responsible for any costs incurred out of the necessity to park or if we are unable to deliver items due to lack of legal parking.
7.10 On return or collection of the items, we will not accept any goods other than those hired by you and specified on the order. We will notify you of any goods collected in error, which do not belong to us. Should they not be collected, or a return arranged within 14 days, we reserve the right to dispose of them. Should you wish for us to make the return arrangement, this will be at your expense.
7.11 Any person signing a delivery/collection note on behalf of the hirer/s is deemed to be authorised to do so. Please make us aware prior to deliver/collection if you will not be there to sign for your hire.
7.12 If you select customer pick up, we are assuming you have measured available space in your vehicle and considered the need for securing any items, as well as bringing a protective material to avoid any damage in transportation. We will not supply this and if appropriate preparations have not been made and/or we feel there is risk of damage is too high, we reserve the right to refuse you the right to transport items, no recompense will be due in this case.
7.13 A £50 surcharge is applicable for each delivery/collection request which falls outside of our usual delivery/collection hours or requires us to amend our logistical arrangements to our detriment (unless otherwise agreed). Working hours exclude Bank Holidays. For example, for a Saturday event, we would typically deliver on Saturday and collect Monday. If requests to amend this to fit to a specific schedule do not fit our schedule, then a £50 surcharge is applicable for each journey. More information on this can be obtained on request.
7.14 Deliveries/collections which fall outside of reasonable daytime working hours will be subject to additional charges and should be discussed before any bookings are made.
Please note! We cannot guarantee out of hours delivery, even if a surcharge is paid; please contact us directly to arrange.
7.15 A guide time for delivery/collection will be given on booking, if requested. Please note this is subject to change to fit in other bookings. We will contact you around 7 days prior to your event date to confirm times and dates. Please note that if you have specifications on delivery or collection times that are not compatible with these times or days, the surcharge will apply.
8. C U S T O M E R P I C K – U P/S A N D D R O P OFF/S
8.1 If you have chosen to drop items yourself, you must ensure the items and delivered only to the address supplied in your booking contract. Items must be accepted by a member of our staff only. You must not leave items unattended outside delivery location or with neighbours unless we have agreed this in writing.
8.2 Customer pick-up and drop-off cannot be made on bank holidays or during the Christmas break. Please check for up to date opening times relating to Christmas.
9. C A N C E L L A T I O N F E E/S
Please note! A non-refundable 20% deposit is required in all scenarios.
More than 21 days before day 1 of your hire – 80% of full value of hire will be refunded.
Between 21 and 14 days before day 1 of your hire – 50% of full value of hire will be refunded.
Between 13 and 7 days before day 1 of your hire – 25% of full value of hire will be refunded.
Less than 7 days before day 1 of your hire – No refund applies.
10. P A Y M E N T A N D P R I C I N G
10.1 Payment of your 20% deposit is deemed an instruction of your booking. This should be received upon signing of your booking form in order for us to confirm your booking.
10.2 Full payment should be received on or before 21 days prior to delivery date, failure to do so may result in your hire being cancelled. (cancellation charges may still apply)
10.3 Our quotes are valid for 7 days. Price changes will not affect quotations within the 7-day period. However, after 7 days, if the deposit payment has not been received, prices will be amended to match our current inventory price.
11. R I S K A S S E S M E N T A N D S A F E T Y
11.1 We carry out risk assessments for all our hire items to ensure they are handled and used correctly. All items and checked over prior to and after hire and undergo regular maintenance. We do everything we can to ensure the safety and safe handling of all hire items.
11.2 We are not responsible for any injury or damage to animals, property, persons, or objects arising from the use of products under hire. We shall not be liable for any direct, indirect, or consequential loss, damage or additional costs that may arise because of the use of our hire items.
12. E X T R E M E C I R C U M S T A N C E S, F O R C E M A J E U R E A N D C A N C E L L A T I O N
12.1 In the event of extreme weather conditions or road conditions which result in us being unable to safely deliver or collect hire items, we reserve the right to alter the arrangements of delivery or collection and shall not be liable for any losses or costs to you that may arise as a result.
12.2 We reserve the right to cancel in extreme circumstances that make your hire unviable for us, up to and including the day of your hire. Every Occasion Event Management has final say on deciding if a hire is unviable and will not be liable for any compensation or additional costs you may incur because of our cancellation; however, a full refund will be issued.
13. I T E M S E T – U P
13.1 We are also an event styling business so will assist with set up and any extras that may have been booked along with the hire item.
13.2 Please note that some of our hire items take two people to assemble, therefore there may be the need for more than one member of staff to be on-site.
13.3 We will discuss with you how long we anticipate set up to take, as we are unaware of what site conditions will be like until we arrive, please understand set up may take longer than advised.
14. C O M P E T I T I O N S A N D D I S C O U N T C O D E S
14.1 In the case of discount codes, on one code can be used per order.
14.2 The closing date is stated on each individual prize draw or competition.
14.3 All prizes are subject to availability; Every Occasion Event Management reserves the right to replace the prize with an alternative product or colour of equal or higher value if necessary, at the Company’s discretion.
14.4 Winner/s will be selected at random after the closing date/s by independent random selection. The decision is final, and no correspondence will be entered into.
14.5 If we cannot contact the winner (via details provided at time of entry) within a reasonable period of time (to be established at the company’s sole discretion) or the winner doesn’t claim their prize within 14 days of notification that they have won the prize. We reserve the right to re-draw a winner of the promotion and thereafter until a winner on these terms is found.
14.6 Winners will be notified by DM or email (using the details provided on entry) within 1 week of the closing date. Following such notification, the winner will be required to complete a booking request as per a normal booking, but no amount of monies will be due.
15. H I R E R E F U S A L
15.1 We have the right to refuse a booking if we feel the items are not suited to the purpose of your hire, or if you, your company, or your event contradicts our company ethos.
16. C O P Y R I G H T
16.1 All images, photography and wording on our social media and/or websites, are copyrighted to us and unless expressly confirmed otherwise.
17. L I A B I L I T Y
17.1 If full monies due are not paid by the date of hire, we hold no responsibility to provide you with hire items and hold no liability in these circumstances.
18. C O L O U R S A N D S T Y L E S OF I T E M S
18.1 All efforts have been made to represent our items accurately in our photographs and videos, however, sometimes there may be slight discrepancies with colours, we cannot be held accountable for this.
18.2 Every care is taken to provide items as you expect them.
19 D I S C L O S U R E
- Any typographical, clerical, or other error or omission in any sales literature, marketing literature, quotations, price list, acceptance of offer, invoice or other documentation or information issued by us shall be subject to correction without any liability to Every Occasion Event Management.
